Unit 1: Collaboration Concepts
ICDL Category 1 ยท Key Concepts (1.1) & Cloud Computing (1.2)

1.1.1โ€“1.1.2 ICT & Collaboration Tools 1.1.1

ICT (Information and Communication Technology) enables people to work together online โ€” even when they're in different countries! This is called online collaboration.

Two main services that make collaboration possible:

โ˜๏ธ Cloud Computing โ€” software and storage on the internet (no installation needed)
๐Ÿ“ฑ Mobile Technology โ€” smartphones and tablets let you collaborate from anywhere

Main types of collaboration tools:

๐Ÿ“
Productivity Apps
Online word processors, spreadsheets, presentations. Examples: Nextcloud Office, CryptPad (open-source!), Google Docs. Multiple people can edit the same document at once!

๐Ÿ‘ฅ
Social Media
Platforms for sharing posts, photos, and connecting. Open-source: Mastodon, Diaspora, Pixelfed. Proprietary: Facebook, Instagram. Includes forums, wikis, blogs.
Tap
๐Ÿ“…
Online Calendars
Share schedules, create events, invite people. Open-source: Nextcloud Calendar, Thunderbird. Proprietary: Google Calendar, Outlook.

1.1.3โ€“1.1.4 Characteristics & Benefits 1.1.3

CharacteristicWhat It Means
๐Ÿ‘ฅ Multiple usersMany people can use the tool at the same time
โšก Real timeChanges happen instantly โ€” everyone sees updates immediately
๐ŸŒ Global reachWorks anywhere with internet โ€” connect with people worldwide
๐Ÿ”„ Concurrent accessMultiple people can view and edit the same file simultaneously
BenefitExample
๐Ÿ“‚ Shared files & calendarsEveryone accesses the same documents and schedules
โœˆ๏ธ Reduced travelMeet online instead of travelling to a physical location
๐Ÿ’ฌ Easy communicationChat, call, and share instantly
๐Ÿค Enhanced teamworkWork together on projects regardless of location
๐ŸŒ Global accessAccess your work from any device, anywhere

1.1.5โ€“1.1.6 Risks & Intellectual Property 1.1.5

RiskWhat Can Happen
๐Ÿ”“ Unauthorised accessSomeone without permission accesses shared files
๐Ÿ“ Version control problemsMultiple people edit the same file and changes get lost or confused
๐Ÿฆ  Malware threatsInfected files shared through the platform
๐Ÿ•ต๏ธ Identity/data theftPersonal info exposed through shared accounts or files
โšก Service interruptionsThe online service goes down โ€” can't access your files!
โš ๏ธ Intellectual Property: When using online tools, always respect copyright. Don't share, copy, or use others' work without permission. This includes images, text, music, and code. Use Creative Commons or open-source content when possible!

1.2 Cloud Computing 1.2

Cloud computing = using software, storage, and computing power over the internet instead of on your own computer. The "cloud" is really just powerful computers (servers) in data centres around the world.

How cloud facilitates collaboration:

Cloud FeatureWhat It Enables
โ˜๏ธ Shared document storageEveryone accesses the same files from anywhere
๐Ÿ“ Online applicationsUse word processors, spreadsheets without installing software
โœ… Cloud Benefitsโš ๏ธ Cloud Risks
Reduced costs (no software to buy)Dependence on the provider
Enhanced mobility (access anywhere)Data protection concerns
Scalability (easily grow or shrink)Loss of data control
Automatic updatesPotential loss of privacy
๐Ÿง Open-Source Cloud: Nextcloud is a free, open-source cloud platform. You or your school can run your OWN cloud server, keeping complete control of your data. That's the Alin Li way โ€” open, independent, and secure!
Over 3.6 billion people worldwide use cloud services every day. Even when you watch a video on YouTube or send a message on WhatsApp, you're using cloud computing!

Unit 2: Preparation for Online Collaboration
ICDL Category 2 ยท Common Setup (2.1) & Account Setup (2.2)

2.1.1 Plugins & Additional Software 2.1.1

Some online tools need extra software or plugins (add-ons) installed in your browser. For example, a video meeting tool might need a browser extension or a desktop app for screen sharing.

๐Ÿ’ก Tip: Most modern tools work directly in the browser (Firefox, Chromium) without plugins. Jitsi Meet, for example, works entirely in the browser โ€” no installation needed!

2.1.2 Equipment for Collaboration 2.1.2

EquipmentUsed ForBuilt-in or External?
๐Ÿ“น WebcamVideo calls โ€” others can see youBuilt into most laptops; external for desktops
๐ŸŽค MicrophoneVoice calls and meetings โ€” others hear youBuilt into laptops/headsets; external USB mic
๐Ÿ”Š Speakers / HeadphonesHearing others in calls and meetingsBuilt into laptops; external headset recommended
๐Ÿ’ก Best practice: Use a headset (headphones + microphone) for online meetings. It prevents echo and background noise, making calls much clearer!

2.1.3 Firewall Considerations 2.1.3

Your school or organisation's firewall might block some collaboration tools. If you can't connect to a meeting or service, the firewall may be the reason. Ask your network administrator to allow the tool through the firewall.

2.2 Setting Up Accounts 2.2

  1. Download any required software (e.g., Jitsi desktop app, Element messenger, Nextcloud client)
  2. Register โ€” create an account with a username, email, and strong password
  3. Set up your profile โ€” add your name, photo, and preferences
  4. Start collaborating!

To deactivate an account: go to account settings โ†’ "Deactivate" (temporarily disables it).

To delete/close an account: go to account settings โ†’ "Delete Account" (permanently removes it and your data).

โš ๏ธ Before deleting: Download any important files first! Once deleted, your data may be gone forever.
