ICDL Category 1 ยท Working with Documents (1.1) & Enhancing Productivity (1.2)

1.1.1 Opening & Closing Writer ICDL 1.1.1

LibreOffice Writer is a free, open-source word processing application โ€” it's the Alin Li alternative to Microsoft Word! You can create letters, reports, essays, and much more.

To open Writer:

  1. Click the Application Menu (Activities or Start)
  2. Search for "LibreOffice Writer" or find it under "Office"
  3. Click to open โ€” a blank document appears

To open an existing document: Ctrl + O โ†’ navigate to the file โ†’ click Open. Or double-click a .odt / .docx file in your File Manager.

To close: Click the โŒ button in the corner, or Ctrl + W (closes document) / Ctrl + Q (closes the whole application).

1.1.2 Creating Documents from Templates ICDL 1.1.2

A template is a pre-designed document with formatting already set up (letterhead, CV, report layout). Instead of starting from scratch:

  1. Go to File โ†’ New โ†’ Templates
  2. Browse categories or search for a template
  3. Select one and click "Open" โ€” a new document based on that template appears
๐Ÿ’ก Tip: You can also download free templates from the LibreOffice Extensions website or create your own templates for consistent document styles!

1.1.3โ€“1.1.4 Saving Documents ICDL 1.1.3โ€“1.1.4

ActionShortcutWhat Happens
SaveCtrl + SSaves changes to the current file. First time? Opens "Save As" dialog.
Save AsCtrl + Shift + SSave with a new name, location, or different format.

Common file formats:

FormatExtensionWhen to Use
Open Document Text.odtDefault format. Open standard โ€” works in any word processor. Always use this!
Microsoft Word.docxWhen sharing with people who use Microsoft Word
Plain Text.txtText only โ€” no formatting, images, or tables
PDF.pdfFor final documents that shouldn't be edited โ€” looks perfect everywhere
โš ๏ธ Remember: Save your work frequently! Use Ctrl + S every few minutes. A power outage or crash can lose unsaved work. LibreOffice also has AutoRecovery (Tools โ†’ Options โ†’ Load/Save).

1.1.5 Switching Between Documents ICDL 1.1.5

When you have multiple documents open: go to the Window menu to see all open documents and click to switch. Or use Alt + Tab to switch between any open windows on your desktop.

1.2.1 Setting Preferences ICDL 1.2.1

Go to Tools โ†’ Options (on Linux) to set:

3.1.7 Hyperlinks ICDL 3.1.7

A hyperlink turns text into a clickable link that opens a web page, email, or another part of the document.

  1. Select the text you want to make into a link
  2. Go to Insert โ†’ Hyperlink (or press Ctrl + K)
  3. In the "URL" field, type the web address (e.g., https://libreoffice.org)
  4. Click "Apply" then "Close"

To edit a hyperlink: right-click it โ†’ "Edit Hyperlink". To remove: right-click โ†’ "Remove Hyperlink".

3.2.1โ€“3.2.4 Paragraph Formatting ICDL 3.2.1โ€“3.2.4

Creating paragraphs: Press Enter to create a new paragraph. To merge two paragraphs into one, place your cursor at the start of the second paragraph and press Backspace.

Line break (soft return): Press Shift + Enter to start a new line WITHOUT starting a new paragraph. Useful inside addresses or poems.

3.2.3 Good Practice: Use alignment, indentation, and tab tools to position text โ€” NEVER use multiple spaces! Spaces don't align properly and create messy documents.

Text alignment:

AlignmentShortcutWhat It Looks Like
โฌ…๏ธ LeftCtrl + LText aligns to the left edge (default for most text)
โ†”๏ธ CentreCtrl + EText is centred on the page (good for titles)
โžก๏ธ RightCtrl + RText aligns to the right edge (for dates, page numbers)
โฌŒ JustifiedCtrl + JText stretches to fill both edges evenly (like in newspapers)

3.2.5โ€“3.2.6 Indentation & Tabs ICDL 3.2.5โ€“3.2.6

Left TabText starts at the tab position and goes right
Centre TabText centres around the tab position
Right TabText ends at the tab position (right-aligned)
Decimal TabNumbers align at the decimal point (for currency columns)

Set tabs: Click on the ruler at the top of the page, or go to Format โ†’ Paragraph โ†’ Tabs.

3.2.7โ€“3.2.8 Spacing ICDL 3.2.7โ€“3.2.8

Good practice: Use paragraph spacing (space above/below paragraphs) instead of pressing Enter multiple times! Multiple Enters create inconsistent spacing.

Go to Format โ†’ Paragraph โ†’ Indents & Spacing:

SettingWhat It Does
Above paragraphAdds space BEFORE the paragraph
Below paragraphAdds space AFTER the paragraph
Line spacing: SingleLines are close together (default)
Line spacing: 1.5 linesMedium spacing (common for school essays)
Line spacing: DoubleWide spacing (for editing drafts)

3.2.9 Bullets & Numbered Lists ICDL 3.2.9

Select your text (or start typing), then click the Bulleted List or Numbered List button on the toolbar. To change style, click the dropdown arrow next to the button and choose a different style.

To remove bullets/numbers: select the list and click the button again (toggles off).

3.2.10 Paragraph Borders & Shading ICDL 3.2.10

Go to Format โ†’ Paragraph โ†’ Borders to add: border style (solid, dashed, dotted), line width, line colour, and background/shading colour. This is useful for highlighting important paragraphs or creating callout boxes.

3.3 Styles ICDL 3.3

Styles are saved formatting settings you can apply instantly. They ensure consistent formatting throughout your document.

๐Ÿ“ 3.3.1โ€“3.3.2 Applying Styles โ–ผ

Paragraph styles (Heading 1, Heading 2, Default Paragraph Style, etc.) control the whole paragraph โ€” font, size, spacing, alignment.

Character styles control just the selected characters โ€” like making certain words always appear in bold red.

How to apply: Click in the paragraph (or select text) โ†’ use the Style dropdown on the left side of the Formatting toolbar โ†’ choose a style (Heading 1, Heading 2, Body Text, etc.).

Or open the Styles sidebar with F11 to see all available styles.

๐Ÿ–Œ๏ธ 3.3.3 Clone Formatting (Format Paintbrush) โ–ผ

The Clone Formatting tool (paintbrush icon ๐Ÿ–Œ๏ธ on toolbar) copies formatting from one place to another:

  1. Place cursor in the text with the formatting you want to copy
  2. Click the Clone Formatting button (paintbrush)
  3. Select the text you want to apply that formatting to
  4. Done! The formatting is applied.

Unit 5: Mail Merge
ICDL Category 5 ยท Preparation (5.1) & Outputs (5.2)

What is Mail Merge? ICDL 5.1

Mail Merge lets you create personalised letters, labels, or envelopes for many people automatically. Instead of typing each person's name and address separately, you create ONE template letter and ONE data list โ€” the computer combines them!

You need two things:
๐Ÿ“„ Main Document โ€” the letter or label template with placeholder fields
๐Ÿ“Š Data Source โ€” a spreadsheet or database with names, addresses, and other info (one row per person)

5.1.1โ€“5.1.3 Setting Up Mail Merge ICDL 5.1.1โ€“5.1.3

  1. Create your data source โ€” Open LibreOffice Calc and create a spreadsheet with columns like: First Name, Last Name, Address, City, etc. Save it as .ods
  2. Open or create your letter in Writer โ€” type the main content that everyone will receive
  3. Go to Tools โ†’ Mail Merge Wizard โ€” follow the steps: choose letter type, select your spreadsheet data source
  4. Insert fields: Place your cursor where a name should go โ†’ click "Insert Data Field" โ†’ choose "First_Name" from the list. Repeat for Last Name, Address, etc.
  5. Your letter now has placeholders like <First_Name> <Last_Name> that will be replaced with real data!
๐Ÿ“„ Mail Merge Letter Template

Dear <First_Name> <Last_Name>,

We are pleased to invite you to our Open Computing Day at Alin Li Academy!

Your personal invitation will be sent to:
<Address>, <City>

Warm regards,
Alin Li Team

5.2.1โ€“5.2.2 Generating Output ICDL 5.2

Once your template and data are connected:

  1. Click "Merge" in the Mail Merge Wizard (or Tools โ†’ Mail Merge)
  2. Choose output: New Document (creates one big document with all letters) or Printer (sends directly to print)
  3. Each person gets their own personalised letter with their name, address, and details filled in automatically!

You can also create address labels using File โ†’ New โ†’ Labels, then connecting to your data source the same way.

Mail merge was invented in the 1980s and is still one of the most useful features in word processing! A school sending 500 personalised report cards can do it in minutes instead of hours.
